Privacy Policy
This describes what PortAnnotate collects when you use the site, why we hold it, who can see it, and the choices you have. Written to be read, not to be dense — if anything below is unclear, contact us.
What we collect
Account and profile. When you register we store your name and email. Completing your profile adds your resume, nationality, address, country, and up to two languages — these are what postings check your eligibility against.
Applications. When you apply to a posting we store the application, your cover note, and its progress through every stage of review — screening, in review, and the final decision.
Verification documents. For some postings, our recruiting team may request identity or verification documents (for example a government ID or proof of address) as part of vetting a specific application. These are added to your application folder and held in the same access-controlled storage as your resume — not a public directory, and never served without an authorization check.
Cookies and technical data. Covered in full in the Cookie Policy, which lists every cookie the site sets, what it does, and how long it lasts.
Why we hold it
To let our recruiting team assess your application against a posting's requirements, to show you the status of every application you have made, to contact you about applications and account activity, and to verify identity where a specific project requires it. We do not use your data to build advertising profiles, and we do not sell it.
Who can see it
You, and the staff reviewing your application. Resumes and verification documents are never served as public files — every download is checked against the signed-in user first, whether that is you or an authorized member of our recruiting team. PortAnnotate is a single organization; there is no outside employer or client with a separate account who can see your profile.
How it is protected
Passwords are stored using Django's salted password hashing, never in plain text. Production traffic is served over HTTPS with HTTP Strict Transport Security enabled. Resumes and verification documents live in storage with no public URL — they are streamed only through a view that checks you are the owner or an authorized staff member first.
How long we keep it
We keep your account and application history for as long as your account is active, so you can see past outcomes and are not asked to re-enter your profile for a new application. We do not currently run an automated deletion schedule — if you want your account and its data removed, email privacy@portannotate.com and we will action the request by hand.
Your rights
Access and correction. Your profile page always shows what we hold about you, and you can correct it yourself at any time by editing your profile or resume.
A copy of your data, or deletion. Email privacy@portannotate.com to request a copy of your data or to have your account and its data removed. We may need to keep a minimal record where the law requires it (for example, records tied to an active verification), and we will tell you if that applies to your request.
Cookie choices. Change your cookie categories at any time from — see the Cookie Policy for what each category does.
Children's privacy
PortAnnotate is not directed at children and is not intended for use by anyone under the minimum working age in their country.

If this policy changes in a way that affects how we handle your data, we will update this page. Significant changes will also be noted on the FAQ page.
